Profit Analyst Privacy Policy

This policy covers Profit Analyst by Obsess AI, our app for Shopify: the version in the Shopify App Store and the custom versions we install for individual merchants. The app is provided by Obsess AI Inc ("Obsess AI," "we," "our," or "us"). Questions: aman@obsessai.com.

You, the merchant, decide what the app is used for. For your customers' personal data, you are the controller and we process it on your behalf, only to provide the app to you. Our Profit Analyst Terms include a Data Processing Addendum that sets this out. Our other apps are covered by our main Privacy Policy.

1. What the App Does

Profit Analyst reads your store's orders, products and discounts, combines them with the costs you give it, and shows your true profit per order, product, discount and shipping method. It finds where you lose money and answers your questions. It changes something in your store (for example a discount or a product price) only when you approve the change it proposed.

2. What We Collect

  • 2.1 From Your Store, Through Shopify

    • Orders (read only; the app never changes an order): order number and id, dates, status, currency, money amounts (subtotal, total, shipping charged, discounts, refunds, payment fees), line items (product, variant, quantity, price), discount codes and automatic discounts, payment gateway names, sales channel and order tags. For fulfillments: the carrier's name, the fulfillment service, and whether a Shopify Shipping label exists and was printed. Up to 24 months of order history.
    • Products, variants and inventory: titles, options, SKUs, weights, product types, prices, and unit costs where Shopify has them.
    • Discounts: your discount codes and their settings.
  • 2.2 About Your Customers

Only these three things per order:

    • the shipping state or province;
    • the first three characters of the ZIP or postal code;
    • a keyed one-way hash of the Shopify customer id, made with a key unique to your store. It lets the app tell that two orders came from the same customer (for example, to count repeat orders). It cannot be turned back into the id without your store's key, and it is never used to identify anyone.

We do not store your customers' names, email addresses, phone numbers, street addresses, full ZIP codes or parcel tracking numbers. The one step that writes orders to storage keeps only the fields listed above, and automated tests fail if a field is added. When the analyst reads your store directly to answer a question, those reads are read only, and personal fields in the answer are removed before the analyst sees them.

  • 2.3 What You Give Us

Product, packing and shipping costs, overhead figures, files you upload (for example a profit and loss export or a cost sheet), the questions you ask, notes, and your approvals or rejections of proposed changes.

  • 2.4 About Your Staff

When a staff member signs in to the app on a phone, we keep their Shopify user id and name, a label for the device, and, if they turn notifications on, the phone's push subscription. When a staff member approves a change, their Shopify user id is recorded as the approver. We do not store staff email addresses.

  • 2.5 Voice, Only If You Use It

On the phone app, hold to talk sends your recording to a speech-to-text service and shows you the text. We do not keep the audio. While you speak, each piece of audio waits a few seconds in our cache and expires within 2 minutes. Nothing is sent to the analyst until you press Send.

  • 2.6 Usage and Billing

What each analysis cost, for your bill and your monthly spending limit.

3. How We Use It

Only to provide the app to you: to calculate profit, find problems, answer your questions, make the changes you approve, send the notifications you ask for, and bill you.

  • We do not sell your data or your customers' data.
  • We do not share it for advertising.
  • We never contact your customers.
  • We do not build profiles of individual customers or make decisions about them.
  • We do not use your data to train AI models.

4. Who Processes It for Us

These providers process data for us, only to run the app:

ProviderWhat for
Amazon Web ServicesOur servers, file storage, the session database, and the cache and job queue. Location: United States (us-east-1).
MongoDB AtlasThe app's database (settings, findings and history). It runs on Amazon Web Services. Location: United States (us-east-1).
RenderHosts the app pages you open in your Shopify admin and on your phone.
Anthropic (Claude API)The analyst. It receives the store figures, costs and questions it needs to answer you. Under Anthropic’s commercial terms, data sent through its API is not used to train its models.
DeepgramSpeech to text, only when you use hold to talk on the phone app. Every request asks Deepgram not to use the audio to improve its models.
Apple, Google, Mozilla or Microsoft push servicesDeliver notifications to a phone, only when a staff member turns them on. The message is encrypted for that phone and carries a finding’s title and amount, never a customer or an order.

Shopify is the source of your store data and the platform the app runs in. Report pages the analyst builds for you may load fonts from Google Fonts and chart code from jsDelivr; those services see the viewer's IP address and browser, not your store's data.

If we add a provider that will receive your store's data, we will add it to this page first.

5. How Long We Keep It

  • While the App Is Installed

We keep your data to provide the app. Order history covers up to 24 months.

  • When You Uninstall

The app's access tokens for your store are deleted at once, and any signed-in phones are signed out. Shopify sends us a deletion request (shop/redact) 48 hours after you uninstall, and we delete all of your store's files and database records 48 hours after that, about 4 days after you uninstall, unless you install the app again first. We keep only the record of what the app billed (amounts and dates, no customer data).

  • When a Customer Asks to Be Deleted

When Shopify sends us a customer's deletion request (customers/redact), we remove that customer's hash from every stored order and from every file made from them. The state and ZIP prefix stay on those orders as anonymous figures. We keep the removed hash (never the customer id) so that a later sync cannot link those orders to the customer again.

  • When a Customer Asks What We Hold

When Shopify sends us a customer's data request (customers/data_request), we look up the orders we hold for that customer and the three fields listed in section 2.2. Email us and we will send you that list so you can answer your customer.

  • Phone Sign-ins

A phone sign-in lasts at most 180 days and ends after 60 days without use. The record of an ended sign-in is removed once it has been ended for 30 days, the next time the store's list of phones is updated, and in any case with the rest of your data when you uninstall.

  • Deleted Files and Backups

Our file storage keeps the previous version of a changed or deleted file for 7 days, to protect against accidental loss, and then removes it automatically. So a deleted file is fully gone about a week after it is deleted. The session database keeps encrypted backups for 30 days. Data deleted from our live systems can remain in encrypted backups until those backups expire.

6. Security

  • All traffic is encrypted in transit (TLS). Stored data is encrypted at rest: file storage with AES-256, and the databases and cache with their providers' encryption.
  • Your files are kept in private storage that refuses unencrypted connections and blocks all public access.
  • Every read, write and delete of a file in that storage is logged, and the logs are kept for one year.
  • Each analysis runs in an isolated container with no access of its own to our databases or to Shopify. It gets a short-lived token limited to your store, and every store read it makes is read only and logged.
  • Only authorized Obsess AI staff can access production systems, with the least access needed.
  • If a security incident affects your data, we will tell you, and Shopify where required, without undue delay and within 72 hours of confirming it.

No method of transmission or storage is 100% secure. We work to protect your data, but we cannot guarantee absolute security.

7. Your Choices and Your Customers' Rights

  • You can see and download your findings and reports in the app.
  • To delete everything, uninstall the app (section 5). To have your data deleted sooner, email us.
  • Your customers' requests to see or delete their data reach us through Shopify, and we act on them as described in section 5. If you are a shopper at a store that uses Profit Analyst, contact that store first.
  • For any other request about your data, email aman@obsessai.com.

8. Changes to This Policy

If we change how the app uses data, we will update this page and its date. If a change is significant, we will tell you in the app before it takes effect.
